Zapo CRM is billed by plan and by usage. This guide explains how usage billing works, and how you pay for chargeable features in Zapo CRM. The table below outlines the chargeable features found in Zapo CRM.

Make calls, Receive calls and Call Assistant are all charged per minute. Send SMS and Receive SMS are charged per message. Call storage is charged per minute, per month and File storage is charged per GB, per month.


Account balance

Before using Zapo CRM, you will need to add credit to your account balance to pay for usage. We’ll notify you by email when your balance hits £10.00, and then again when your balance reaches £0, so you know in advance when you need to refill your balance.


Refilling your balance

Account balance refill options can be found on the Usage tab in Settings. Here, you can make a manual payment to refill your balance, or set up an automatic payment to refill your balance when it hits a specific threshold.

Negative balances

If your balance reaches £0, your account will be suspended. If a call or operation is in progress at the time, it will complete naturally, and will result in a negative account balance.

Once an account is in a zero or negative balance state, you will be unable to use the chargeable features found in Zapo CRM, i.e. calls, SMS messages, etc. Any payment made against a suspended account will first be applied against any delayed usage while the account was in a suspended state. If the payment made is not enough to cover those charges the account will continue to stay suspended.


Delayed billing

Due to the complexity of our billing and processing systems, there may be delays to charges against your account. While usually minor, these delays could cause discrepancies if attempting to reconcile real-time data.

Delayed billing usage is also possible when reinstating an account from suspension. If an account reaches £0 balance before all usage is processed against the account balance, the unpaid usage will remain on the account as a negative balance until payment is added to the account. When reinstating a zero balance account, we recommend increasing your normal refill amount to compensate for the delayed usage incurred while the account was suspended, and monitoring your balance closely for a short period of time to prevent delayed billing from suspending your account again.


VAT

Zapo is required to charge VAT when refilling your account balance. VAT is currently charged at 20% in the UK, so refilling your account balance to £20 will cost £24 including VAT, refilling to £50 will cost £60.


Payment receipts

Each time you refill your account balance by making a payment, we email the primary user on your account with a payment receipt. You can also view and download previous payment receipts in your Zapo account on the Invoices tab in Settings.
